We are approaching the time of year where we invite members to renew your membership with Tennis NSW. To help you prepare for the upcoming 2025/2026 Tennis NSW membership renewal period, please see below some important updates for your information.
1. Membership renewal timeline:
Please make note of the following key dates regarding membership renewal:
- 1 May 2025 – 2025/2026 membership renewal period opens. An email will be sent to each member’s primary contact with key information on how to complete your renewal, including your invoice and the Tennis NSW membership renewal form. If you believe your primary contact may have changed over the last 12 months, or if you do not receive this renewal email as expected, please reach out to the Tennis NSW membership team as soon as possible at membership@tennisnsw.com.au.
- 30 June 2025 – Deadline for invoice payment, completion of the Tennis NSW renewal form, and submission of your WWCC verification register. Failure to complete these three steps by this date may lead to a disruption of your membership benefits, including insurance (where applicable). Please note that valid completion of all three steps (invoice payment, completion of membership renewal form and submission of your WWCC verification register) is required to renew your Tennis NSW membership.
2. Membership fees:
In late February 2025, each member received personalised correspondence from Tennis NSW advising of changes which have been made to the Tennis NSW membership structure for the 2025/2026 affiliation period and beyond. This correspondence also identified which category of membership each member had been allocated in accordance with their unique circumstances and needs.
Consistent with this correspondence, as a reminder, the Tennis NSW membership fees (inc. GST) for 2025/2026 are:
Should you require further information about which category you have been placed in, please reach out to the membership team.
3. Working with Children Check requirements:
As has historically been the case, it is a compulsory requirement of affiliation with Tennis NSW that you provide Working With Children Check (WWCC) information to Tennis NSW. As was the case for the 2024/2025 affiliation period, members are required to submit a ‘WWCC Verification Register’ which evidences that the WWCC details of all committee members AND any person who has face to face contact with children in their role (e.g. all coaches, team managers, MPIOs etc.) have been verified with the NSW Office of the Children’s Guardian in accordance with legislative requirements.
To assist with this process, during the 2025/2026 membership renewal period, each member will receive their current WWCC verification register as an attachment to the 1 May 2025 renewal email. Members may also request a copy of their current WWCC register from the Tennis NSW Membership Team at anytime.
Once members receive their WWCC verification register as part of the 1 May renewal email, members should undertake the following steps to ensure their register is up to date, and that they are meeting the requirements of affiliation with Tennis NSW:
- Review your current WWCC verification register and identify whether there are any committee members or workers (paid or volunteer) who are not included on the register (e.g. because they are new committee members), whether there are any committee members or workers who can be removed from the register (e.g. because they have left your organisation), or any committee members or workers whose WWCC details may have changed or expired.
- Verify the WWCC details of any new committee members or workers via the OCG portal and add these details into your register. Remove any committee members or workers who have left your organisation from your register.
- If there are any committee members or workers whose WWCC has expired, ensure that person has renewed their WWCC. You must then acquire their new WWCC details and re-verify their details via the OCG portal.
- If any person at your organisation has an APP number rather than a WWCC number this simply means their application is still in progress. Please enter their APP number through the OCG portal as if it were a WWCC number and record these details on your register. When that person obtains a valid WWCC number, please enter those details through the OCG portal and update your register.
- If there has been a change in any committee member or worker’s WWCC status to barred or interim barred please notify Tennis NSW immediately.
- Once the above steps have been completed, please submit your completed WWCC register to Tennis NSW where requested in the Tennis NSW Membership Renewal Form. Please note that the deadline for submission of your WWCC Verification Register is 30 June 2025. Failure to submit a compliant WWCC register by this deadline may result in a disruption to your Tennis NSW membership and access to the associated benefits of membership.
